How I Follow Up On Unpaid Invoices

Introduction

Every contractor will eventually deal with unpaid invoices. Following up can be uncomfortable, but getting paid for a completed job is an important part of running a successful business. Over the years I have learned that a simple and professional process works best.

Send Clear Invoices

The follow up process starts before an invoice becomes overdue. I make sure invoices are very accurate . They have to be easy to understand, and always include clear payment terms.

Monitor Due Dates

I keep track of invoice due dates so I know when a payment is late. If I wait too long it makes collection more difficult.

Send A Friendly Reminder

My first step is usually a polite reminder. Many late payments are simply the result of a customer forgetting or overlooking the invoice.

Follow Up Professionally

If payment is outstanding, I contact the customer directly. Im always professional and respectful and then I request payment.

Keep Records Of Communication

I keep track of emails, phone calls, text messages, and payment promises. This helps avoiding misunderstandings and then I have a record of communication.

Make Payments Easy

The easier it is for a customer to pay, the faster invoices are collected. You can offer multiple payment options which will reduce delays.

Know When To Escalate

Most unpaid invoices can be resolved through communication. However, there may be situations where additional collection efforts become necessary.

Final Thoughts

Following up on unpaid invoices is not my favorite part of running a construction business, but it is necessary. A consistent and professional process helps improve cash flow while maintaining good customer relationships.
